Welcome to the AGM Agenda Kit for the Queensland Geographical Society. This resource provides essential information and practical notes for our members.

The AGM is an important event where we gather to discuss the society's progress, future initiatives, and opportunities for member engagement. Below are the key components of the agenda:

We encourage all members to participate actively in the discussions and contribute to the society's growth. Your insights and feedback are invaluable as we work together to promote geography in Queensland.

Preparing for the Meeting: Practical Notes for Members

An annual general meeting runs smoothly when members arrive prepared. The agenda above sets out the order of business, but a little groundwork beforehand makes each item more productive and helps the meeting finish on time.

Before the day

  • Read the papers in advance. Minutes of the previous meeting, the annual report and the financial statements are usually circulated ahead of the AGM. Reading them early lets you note questions rather than raising them cold from the floor.
  • Check your eligibility to vote. Voting at an AGM is normally limited to financial members. If you are unsure whether your subscription is current, review the membership page well before the meeting.
  • Submit motions and nominations on time. Most incorporated associations in Queensland set notice periods for motions and committee nominations in their rules. Late items may not be able to be added to the formal agenda.
  • Arrange a proxy if needed. If the society's rules allow proxies and you cannot attend, organise the paperwork early.

During the meeting

The chair will work through each item in turn. Business such as confirming minutes, receiving reports and electing office bearers is often handled quickly, so save broader discussion for the member engagement segment. When speaking, keep comments brief and relevant to the item at hand so that everyone has a chance to contribute.

The future initiatives item is a good moment to suggest ideas tied to the society's core activities: new routes for field trips, talk topics, or themes for podcasts and publications. Concrete proposals, with a rough sense of who might help deliver them, are far easier for an incoming committee to act on than general wishes.

After the meeting

Draft minutes are usually prepared by the secretary and confirmed at the following AGM, which is why reviewing previous minutes sits near the top of the agenda. If you volunteered for a working group or offered to help with an event, follow up with the committee while the discussion is still fresh. Keep an eye on the events calendar for activities that grow out of the meeting's decisions.
